Managing nonresident payroll at your institution

International students, scholars and staff are taxed differently from U.S. residents. This means it can be a significant challenge for payroll and international office teams to document, withhold on and report every scholarship, wage and stipend paid to nonresidents correctly

Sprintax Calculus is a nonresident tax solution specifically designed for educational institutions. It correctly calculates tax withholding, determines residency and tax treaty eligibility, and generates Forms 1042-S, W-4, W-8BEN and more.

F.A.Q.

Your questions. Answered.

The portion of a scholarship used for tuition, required fees, books and course supplies is generally not taxable. Amounts used for room, board, travel or other living costs are usually taxable U.S.-source income, and withholding applies unless a tax treaty exemption is claimed.

Form 1042-S reports U.S.-source income paid to nonresident aliens, such as taxable scholarships, treaty-exempt wages and stipends, along with any tax withheld. Universities must furnish it to recipients and file it with the IRS by March 15 of the year after payment.

Nonresident alien students on F-1 and J-1 visas are generally exempt from Social Security and Medicare (FICA) taxes on wages from authorized employment, including on-campus jobs. The exemption ends once the individual becomes a resident alien for tax purposes.

Tax residency is determined by the Substantial Presence Test, which counts days of presence in the US across the current year and the two years before it. F-1 and J-1 students are generally exempt from counting days for five calendar years, and J-1 teachers and researchers for two of the last six years.

Sprintax Calculus generates Forms 1042-S, W-4, W-8BEN, 8233 and more, and records the residency and treaty determinations behind each one.
